What Do Customers Say About the Mailshake?

capterra.com

Positive reviews:

“I generally find the service works brilliantly. I have a level of subscription that works for me and opportunities to upgrade in the future. Recently while dealing with a question about an unrelated matter, Ismael, one of the service team, spotted a potential problem with how I had set up my emails. They highlighted the issue and explained carefully how I could resolve it. Incredible service: spotting issues on my behalf. I’m a very satisfied customer.” – Magic F. ⭐⭐⭐⭐⭐ March 21, 2026

“Simply stated, Mailshake makes it possible for us to conduct our outreach campaign in a way that is manageable and effective. I did a lot of research before signing up for Mailshake. One major reason I decided on this platform is that it’s feature-rich without being so complicated that I would have too much difficulty using it. So far, I haven’t been disappointed—and I’m looking forward to being able to make even better use of the service during the weeks ahead (I know I haven’t yet taken full advantage of everything I could have).” – Dan B. ⭐⭐⭐⭐⭐ March 17, 2026

Negative reviews:

“Customer support does not respond to your queries, not even after a month, if email replies ‘out of office’ is in another language besides English, it counts the email as a valid reply, if you schedule initial campaign on the specific date, it does not send it entirely on that day yet breaks it into several batches thus disrupt you next follow ups (instead of after 3 days, you end up with a follow up sent the following day) etc.” – Anonymous User ⭐☆☆☆☆ July 31, 20184

“I’m dissatisfied with Mailshake’s lack of email confirmation for cancellations and the absence of emailed invoices or receipts upon billing renewal, which are only accessible via the portal.” – John S. ⭐☆☆☆☆ February 19, 2025

Positive reviews:

“For the price, it cannot be beat. I’ve used it off and on since 2017 or so and it’s gotten even better since then, obviously. There have been a lot of new companies that have come up and they have some cool features, but MailShake is just so much easier to use, while also giving you a lot more freedom. There aren’t a lot of upsells like there are in SalesHandy or Instantly, and the UI is fairly simple to use.” – Clint L. ⭐⭐⭐⭐⭐ March 18, 2026

“One of the best parts of my experience with Mailshake so far is the excellent customer support I’ve been getting from the company’s care team. It’s been a tremendous relief knowing that Andrea and Ismael will always respond promptly and conscientiously during business hours. To me, they seem more like good friends than tech support people I don’t really know. The platform has many wonderful features. One of my favorites is Office Hours, held at the same time every week (on Wednesday). It’s great to be able to drop in to ask your questions, get feedback and listen/learn from other subscribers.” – Verified User in Financial Services ⭐⭐⭐⭐⭐ March 17, 2026

Negative reviews:

“I’ve had multiple calls with multiple questions, and none of my questions have been answered. I’ve had multiple calls to request how to email sellers with the name of their business or any other variables included in the email and there’s basically very few options for customizing, and really no help in setting up.” – Andrea B. ⭐☆☆☆☆

“I use Mailshake for emailing and my experience with it is terrible. First, it is breaking all campaigns (even scheduled), second out of office reply is counted as potential lead so it doesn’t send follow-ups to those people. Third thing is that email [email protected] doesn’t work, just form that I dug somewhere but that is not the end. On my question why it breaks initial campaign and information that their email is not working I got an answer ‘can you tell me when you wrote us since we want to ensure that we answer….’ typical support answer but without reply on my problem. I wrote a couple of time since then and I am waiting for 20 days, no answer. So, an automatic tool that doesn’t automate a process and without support. I would never go into such an adventure again. Paying for nothing, it doesn’t worth even a penny.” – Verified User in Computer Software ⭐☆☆☆☆

getapp.com

Positive reviews:

“The ability to upload HTML templates has allowed us to create beautiful, branded emails that stand out, and the campaign tracking tools make it easy to see what’s performing best.” – Sabine F. ⭐⭐⭐⭐⭐

“My experience changed after onboarding. While the software itself is easy to use, the early-stage sending restrictions did not align with what I understood prior to purchase. Because of this, I switched to Mailchimp, where I was able to send a 30,000-email campaign almost immediately.” – Robert K. ⭐⭐⭐⭐⭐

Negative reviews:

“Some tiny things that I would change when moving prospects from one campaign to another, currently it’s individual – I would like to be able to filter to not contacted and move all.” – Jayne D. ⭐☆☆☆☆

“There aren’t many issues that I’ve faced but if I could add one feature it would be to integrate a way of storing and dialling phone numbers of my prospects.” – Neill D. ⭐☆☆☆☆

Positive reviews:

“Mailshake is a great company! Everyone is amazing on the team and the management is always there for you. I have grown a lot at Mailshake and I will always recommend it and say all the best about it!” – Sales development representative (sdr) ⭐⭐⭐⭐⭐

“Best team, friendly colleagues, understanding managers that treat you good, bonuses every month, Christmas generous bonus, unlimited PTO, you can work remote from whever.” – Sales development representative (sdr) ⭐⭐⭐⭐⭐

Negative reviews:

“I was dismissed because the CEO claimed he couldn’t provide feedback as he wasn’t in town, which I find concerning for someone seeking a long-term position. The onboarding process was unclear, schedules were disorganized, and it seemed personal since I managed to close a sale during my first demo session before leaving.” – Account executive ⭐⭐⭐☆☆

Positive reviews:

“If anyone is trying to find potential leads by building relationships with their customers, I can’t recommend ‘Mailshake’ enough! At The Big Phone Store, we use Mailshake. It allows you to personalise each email you send to your customers so that you can include a first name, last name and even a topic that is specific to that customer. It essentially gives you the tools that you need in order to send huge amounts of emails that are all personalised. The pro’s of Mailshake include their lead catcher (A tool where Mailshake will detect which replies are leads and then allow you to assign people to them). You can also ‘clean’ your contact’s email addresses to get rid of any emails that are very likely to bounce back and not be delivered to the intended recipient. The con’s of Mailshake is mainly the amount of emails you can send – but this is not a fault of Mailshake as it uses your own email domain to determine how many emails can be sent on a daily basis (If your email address is fairly new and you don’t send many emails, then you will only be able to send around 10 emails per day until you have built your ‘reputation’).” – Brandon Wilkes ⭐⭐⭐⭐⭐

“At Viva Flavor, we use Mailshake exclusively on Viva Flavor for the site’s email marketing. Pros & Cons It’s very simple to use, with clear step by step instructions for creating your first campaign. It’s a great starting point in particular for those who haven’t previously spent a lot of time on their email marketing. You can run multiple campaigns at the same time, track bounce / open / response rates, and tweak your templates based on ongoing campaign performance. There are more advanced services out there, but for most entrepreneurs and small business owners it’s an excellent all-in-one package. If there’s one negative I’ve encountered so far it’s that Mailshake’s list-cleaning service for cold outreach isn’t the best. I recommend cleaning your prospect list using another service like ZeroBounce or NeverBounce to check for invalid addresses, and before uploading your data This will keep your bounce rate lower and your overall deliverability in the black. It’s not a big extra investment, but it’s great value in the long-run.” – John Bedford ⭐⭐⭐⭐☆

Positive reviews:

“I’m a very happy customer and think this product is great value for money. I have significantly increased my business by using this emailing system.” – Seth H. ⭐⭐⭐⭐⭐ February 2026

“A great front funnel outreach tool that is continuing evolving and improving my sales process in a scalable manner.” – Jim P. ⭐⭐⭐⭐⭐ February 2026

Negative reviews:

“It doesn’t stop emails from people when they write from different email address and it recognizes out of office msg as a reply, so doesn’t send follow-ups which creates a lot of extra work, that should be automatized with Mailshake.” – Marija G. ⭐☆☆☆☆

“Terrible customer service. Never seen a professional company have a blanket no-refund policy. They’ve now moved to an annual only plan. Just revenue grabbing and honestly not ok.” – Verified Reviewer ⭐⭐☆☆☆

Positive reviews:

“It is easily the best and most hassle-free outreach platform out there. User-friendly, responsive support team and easy to navigate for even beginners. Highly recommend this underrated email automation platform to all marketers.” – AISHWARYA YV ⭐⭐⭐⭐⭐ April 1, 2026

“Communication with Mailshake is excellent, the staff are well trained and understand the product and offerings well. I reached out with a question on Sunday and Ismael replied promptly the next day. Overall the experience is good and we are happy to continue using them as the level of service provided helps small business like ours.” – Jim P. ⭐⭐⭐⭐⭐ March 20, 2026

Negative reviews:

“The tool was super buggy – kept getting redirected to the dashboard page when trying to set up a email campaign. Then when I asked to cancel my account and ask for a refund they refused to refund. Wouldn’t recommend.” – Josh May ⭐☆☆☆☆

“They’ve switched to only offer an annual plan and a now have a blanket no refund policy. Be really careful and diligent during the demo as if you miss anything and the product quickly turns out not to be for you or what you expected, they will not offer you any form of refund. I worked out the product wasn’t for me and didn’t work as I expected it to within days and now find myself having to pay $1k / seat for a product I won’t use. There are definitely bugs and areas of improvement. I’m sure the product is fine for some people, but if you find out it’s not for you post demo you’re out of luck.” – Henry Barclay ⭐☆☆☆☆

Positive reviews:

“We use Mailshake for all of our cold prospecting email campaigns. We have implemented prospecting campaigns for tradeshows and recruiting for market research studies. Prior to using Mailshake, we were putting our domain at risk by emailing cold prospects. We are now confident in our outreach. Our open rates have skyrocketed, and our campaigns have been very successful.” – Verified User ⭐⭐⭐⭐⭐

“Mailshake is best-suited sales, cold, and leads email outreach, the amount of personalized email you can send is excellent plus the follow-up. The sequence and lead catcher feature will save so much time.” – Verified User ⭐⭐⭐⭐☆

Negative reviews:

“I ultimately found that Mailshake was not a good fit for our company. We were not having luck with the cold email strategy, but I do not think it was any fault of the Mailshake product. I found the product easy to use and that it functioned well.” – Jessica Otero ⭐⭐⭐☆☆

Feature Highlights: What Stands Out and What’s Missing

Here’s a look at what Mailshake actually delivers – and where it falls short.

  • Automated Warm-Up
  • Real Mailbox Network
  • Reply Simulation
  • Domain Warm-Up
  • Inbox Rotation
  • Custom Warm-Up Settings
  • Warm-Up Scheduling
  • Multi-Provider Support
  • Spam Folder Recovery
  • Inbox Placement Monitoring
  • Deliverability Score / Health Dashboard
  • Blacklist Monitoring
  • DNS / SPF / DKIM / DMARC Check
  • Bounce Rate Monitoring
  • Warm-Up Analytics & Reporting
  • Integration with Cold Outreach Tools

Let’s take a closer look at what Mailshake delivers with each of these features.

Automated Warm-Up

Once your email is connected via SMTP and daily volume is set, Mailshake’s warm-up tool runs on its own. It opens emails, generates replies, and pulls messages out of spam automatically – no manual involvement needed after the initial setup.

Real Mailbox Network

Mailshake sends warm-up emails to accounts it owns and controls, then automates replies from those same addresses. Customer inboxes are never used in the process – your account interacts exclusively with Mailshake’s own email pool, keeping the warm-up contained and predictable.

Reply Simulation

Replies come back automatically from Mailshake’s owned accounts after each warm-up send. The reply rate is configurable, and the platform recommends keeping it around 30% to avoid patterns that look unnatural to inbox providers monitoring send-to-reply ratios.

Domain Warm-Up

Mailshake addresses warm-up at the domain level, not just per mailbox. When a primary domain has existing reputation problems, the platform points users toward a dedicated outreach subdomain instead – a practical split that keeps the main domain out of the firing line during ramp-up.

Inbox Rotation

Mailshake’s mailboxes feature auto-rotates sending across multiple email addresses within a single campaign. This spreads sending load, keeps individual accounts under provider thresholds, and reduces the risk of any one address accumulating enough negative signals to affect deliverability.

Custom Warm-Up Settings

Daily send volume, reply rate percentage, and gradual ramp-up behavior are all adjustable from the warm-up settings panel. You can push to a ceiling of 100 warm-up emails per day or dial it back – useful when managing accounts at different stages of the warm-up cycle.

Warm-Up Scheduling

A gradual increase option lets you ramp sending volume automatically over time rather than starting at the full daily limit from day one. The setting is off by default, giving you the choice between immediate full-volume warm-up or a more conservative escalation pattern.

Multi-Provider Support

Mailshake connects to any email provider with SMTP support – Gmail, Google Workspace, Microsoft 365, GoDaddy-hosted accounts, and custom setups all work. Some providers require app passwords or SMTP access to be manually enabled before the connection goes through.

Spam Folder Recovery

When warm-up emails land in spam, the system automatically moves them out and marks them as not spam. This behavior runs continuously in the background, signaling to inbox providers that mail sent from your address is legitimate and belongs in the primary inbox.

Inbox Placement Monitoring

Mailshake tracks your spam score through the deliverability dashboard rather than running seed-list-based placement tests across multiple providers. It gives you a real-time read on how often warm-up emails are hitting spam, which serves as a practical indicator of where your reputation stands.

Deliverability Score / Health Dashboard

The Performance Dashboard sits inside the Deliverability section and shows emails sent, opened, replied to, and the percentage going to spam – all broken down over time. A spam pattern bar graph gives a visual read on whether warm-up activity is trending in the right direction.

Blacklist Monitoring

Blacklist status is monitored as part of Mailshake’s standard deliverability toolset. The FAQ on the email deliverability page confirms the tool watches for blacklisting activity, and the platform positions staying off blacklists as one of the core outcomes of running warm-up consistently.

DNS / SPF / DKIM / DMARC Check

For mailboxes provisioned through Mailshake, SPF, MX, and DKIM records are configured automatically – no manual DNS setup required. For externally connected accounts, the platform confirms DKIM and SPF authentication as part of its standard deliverability approach.

Bounce Rate Monitoring

Email validation credits included with every plan classify addresses by bounce risk before they’re sent to. High-risk and honeypot addresses get removed automatically, keeping the list clean and protecting sender score from the kind of bounce activity that tends to trigger filtering at the provider level.

Warm-Up Analytics & Reporting

The Analytics tab breaks down total sends, opens, replies, and overall spam rate since warm-up started. A daily spam pattern graph makes it easy to spot delivery shifts over time, and per-address filtering lets you check individual account performance within a shared team setup.

Integration with Cold Outreach Tools

Warm-up is built directly into the Mailshake platform rather than offered as a separate product. Every subscription includes access to the warm-up tool alongside cold outreach sequencing, follow-ups, and the dialer – making it a single environment for both reputation building and active outreach.

    • Campaign Analytics & Reporting
    • CRM Integration
    • Team Collaboration
    • API & Webhooks

Let’s take a closer look at what MailShake delivers with each of these features.

    Email Sequence Automation

Mailshake lets you build multi-step outreach sequences that send automatically based on recipient behavior and configurable delays. Campaigns run from your own connected mail account – Gmail, Outlook, or SMTP – so every message lands with a sender-native feel rather than a bulk-mail footprint.

    Follow-Up Automation

Follow-ups fire on a time delay or after specific recipient actions – or silence. Each follow-up can continue the prior thread or go out as a standalone message, and the sequence halts automatically the moment a prospect replies, keeping conversations clean.

    Multi-Channel Outreach

Mailshake supports coordinated outreach across email, phone, and LinkedIn within a single campaign sequence. LinkedIn tasks – connection requests, messages, and profile views – run through the Chrome extension, while the built-in power dialer handles cold calls without leaving the platform.

    AI-Powered Email Writing

SHAKEspeare is Mailshake’s native AI writing tool, turning your business inputs into three draft cold emails in under a minute. It also includes a Re:Write mode for refining existing copy and a Spintax feature that randomizes phrasing across sends to help with deliverability.

    Personalization & Merge Tags

Text Replacements – Mailshake’s term for merge tags – pull custom fields from your uploaded CSV or connected CRM and inject them into each message at send time. The Personalize step in the campaign wizard also lets you review and manually edit per-prospect copy before launch.

    A/B Testing

Mailshake supports multi-variant A/B testing at the campaign segment level. You build one version, then SHAKEspeare AI can generate additional segments automatically, or you write them manually – useful for pressure-testing subject lines, openers, or CTAs without duplicating the full campaign.

    Built-In Email Warm-Up

Email warm-up is included free with all Mailshake plans via its acquired Warm Up Your Email tool. It operates over SMTP, sending automated emails to owned addresses and triggering replies, which conditions your sender reputation before campaign volume starts ramping up.

    Inbox Rotation / Multi-Sender

Mailshake’s Email Rotation feature distributes campaign sends across multiple connected mailboxes, reducing load on any single address and lowering the risk of hitting provider daily limits. This is available from the Email Outreach plan upward, with up to 100 mailboxes configurable per plan.

    Deliverability Monitoring

The deliverability toolset covers a spam score dashboard, an in-app copy analyzer that flags risky words, a domain setup assistant for SPF/DKIM/DMARC, and a list cleaning tool that strips invalid addresses before each send.

    Email Tracking

Mailshake tracks opens via pixel and logs clicks through tracked redirect URLs. Custom tracking domains are supported to cut down on spam filter friction. Both open and click tracking can be switched off per campaign if deliverability is the priority.

    Bounce Management

When a bounce hits, Mailshake automatically clears all pending messages for that prospect – no manual cleanup needed. Bounced contacts get flagged in the system, and the list cleaning tool can screen addresses ahead of sends to cut down on hard bounces at source.

    Unsubscribe Management

Opt-outs are handled two ways: reply-based detection picks up phrases like “unsubscribe” or “remove me” and triggers automatic suppression, while a clickable unsubscribe link can be dropped in via the editor’s Insert button.

    Lead Finder / Prospecting Database

Data Finder lets you search for prospects by role, location, or company – either inside Mailshake directly or via the Chrome extension on LinkedIn and Sales Navigator. Found contacts can go straight into a campaign or be pulled out as a CSV, with credits tied to your plan tier. Both one-click and two-click confirmation flows are configurable in team settings.

    Email Verification

Validation credits come with every Mailshake plan and run automatically before sends, screening addresses for bounce risk and flagging spam traps. The list cleaning tool sorts each address by deliverability risk and pulls the problematic ones before they can drag your sender score down.

    Campaign Analytics & Reporting

Campaign data covers opens, clicks, replies, and lead status – viewable per campaign or rolled up across the team. The Campaign Comparison Report shows which sequences are pulling their weight, and all prospect and results data exports via CSV.

    CRM Integration

Mailshake connects natively to Salesforce, HubSpot, and Pipedrive with bi-directional lead sync. Zapier adds 1,000+ more app connections on top of that. Lead data can also come in directly from CRMs at campaign creation, replacing or sitting alongside CSV imports.

    Team Collaboration

Team members are added by email invite from the Settings > Teammates panel, with admin or standard access roles assigned on the way in. Team Playbooks let managers lock down campaign templates so reps can run sequences without touching the core steps – keeping messaging consistent across the board.

    API & Webhooks

Mailshake’s REST API runs on API key authentication with a rate limit of 1,000 calls per minute per account. It covers campaign management, prospect operations, and lead status updates. Zapier and Mailshake.js extend things further with trigger-based automation and conversion tracking layered on top.

      Prospecting Database Import
